Job Description

Office Assistant

We are seeking a detail-oriented and proactive Office Assistant to join our team. This is a part-time (to full time) in-office position. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and assisting with various tasks including but not limited to order entry, shipments, data entry, communication and other office tasks. This position requires strong organizational skills, attention to detail, especially when performing data entry and order entry functions, willingness to learn and the ability to manage multiple priorities effectively. QuickBooks and Microsoft Office experience is required.

Responsibilities

  • Perform general clerical duties, including filing, data entry, and maintaining organized records.
  • Assist with answering phones, entering orders and shipping of orders.
  • Provide exceptional customer service by responding to inquiries and assisting customers as needed.
  • Utilize QuickBooks for basic accounting tasks and financial record keeping.
  • Communicate clearly and effectively with management and peers.
  • Collaborate with team members to streamline office processes and improve efficiency.
  • Provide administrative support to management as required.
  • Willing to help out and assist in multiple areas of the office, as needed.

Skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook, etc)
  • QuickBooks experience
  • Strong time management skills with the ability to prioritize tasks effectively and multitask.
  • Excellent communication skills, both written and verbal, with a focus on customer service.
  • Experience with data entry and maintaining accurate records is essential.
  • Strong organization skills and professionalism.
  • Attention to detail along with strong work ethic.
  • Ability to work independently as well as part of a team in a fast-paced environment.

Qualifications

  • Bachelor’s Degree Preferred
  • 2-3 years of Administrative Office
  • Strong Word, Excel and Outlook – QuickBooks experience is needed
  • Have a proactive mindset and like helping people solve problems
  • Bookkeeping/Accounting Support is a plus
  • Be able to commute to Lynbrook, NY. This is an IN-OFFICE POSITION
