Administrative Assistant – Sales Recruiting Support

Are you an organized, detail-oriented professional with a passion for supporting dynamic teams? We’re seeking an Administrative Assistant to provide essential support to our fast-paced sales recruiting team. This role is pivotal in ensuring a seamless onboarding experience for new hires, maintaining compliance through I-9 verifications, and delivering general administrative support to keep the team running smoothly.

Location Requirements: Candidates must report to our Jersey City office a minimum of 3 times a week and have flexibility to travel to our Parsippany and Saddle Brook locations as needed

Key Responsibilities

  • Assist with new hire onboarding processes, ensuring all documentation is completed accurately and on time.
  • Manage and process I-9 verifications in accordance with company and federal guidelines.
  • Provide day-to-day administrative support to the sales recruiting team, including scheduling, data entry, and file management.
  • Coordinate interview schedules and support communication between candidates and recruiters.
  • Maintain and update internal databases and tracking systems.
  • Assist with preparing reports, presentations, and other documentation as needed.
  • Support special projects and team initiatives as assigned.

Qualifications

  • 2+ years of administrative support experience, preferably within a recruiting or HR environment.
  • Strong organizational skills with keen attention to detail and accuracy.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and applicant tracking systems (ATS) is a plus.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • A team player with a proactive approach and strong problem-solving abilities.
